We are seeking a high-level Executive Assistant to the Chairman to provide comprehensive administrative, organizational, and strategic support. This role is central to ensuring the efficient functioning of the Chairman’s office and requires a professional who embodies discretion, exceptional coordination skills, and the ability to manage sensitive information with the highest integrity.

Job Responsibilities

Executive & Administrative Support

  • Calendar & Travel: Provide complete support including calendar management, meeting scheduling, and travel coordination with zero missed engagements.
  • Liaison: Act as the primary point of contact between the Chairman and stakeholders, ensuring all communications are routed within 24 hours.
  • Meeting Management: Prepare agendas, briefing notes, and presentations at least 24 hours in advance. Attend meetings, circulate minutes within a day, and maintain a 95% action-point closure rate.
  • Confidentiality: Manage sensitive documents and data with zero breaches, adhering to strict confidentiality standards.

Office Coordination & Strategy

  • Interdepartmental Flow: Coordinate communication between departments and relay accurate information on behalf of the Chairman.
  • Project Oversight: Monitor deadlines and deliverables while supporting the execution of strategic initiatives and special projects.
  • Operations: Ensure the day-to-day operations of the Chairman’s office run smoothly with no operational disruptions.

Finance & Invoicing Support

  • Business Continuity: In the absence of the Credit Control Officer or Finance Officer, prepare and issue accurate client invoices within 24 hours.
  • Financial Record Keeping: Maintain precise records of issued invoices and assist with basic financial documentation and reporting as requested.

Requirements & Targets

  • Efficiency: Ability to prioritize and manage multiple executive tasks with a 95–100% completion rate within agreed timelines.
  • Communication: Excellent verbal and written skills for high-level stakeholder engagement.
  • Organization: Weekly status tracking of commitments and same-day updates for financial records.
  • Professionalism: A proven track record of handling complex schedules and sensitive environments.
